Description

One rental property, one workbook, zero shoeboxes of receipts. The Rental Property Tracker is the bookkeeping system for a landlord with a single property: a rent log that works out Paid / Late / Partial / Unpaid by itself, an expense log sorted by Schedule E-style categories, a maintenance work record, and a year-end summary that is ready before your tax appointment is.

It starts on Start Here: property, tenant, lease dates, monthly rent, deposit held, late fee. From there it is two small habits — log each month’s rent, log each cost once — and the Dashboard keeps the year in front of you: rent collected, expenses, net operating income, months paid vs due, deposit held, and the latest month’s status, with red alerts if expenses run ahead of rent or a month is not paid in full.

The 6 tabs:
• Start Here — property address, tenant, lease dates, rent, security deposit and late fee. Everything reads from here.
• Dashboard — the year on one screen. Its “year” is the year of the most recent month in your Rent Log — no TODAY() tricks, nothing changes unless you type it.
• Rent Log — one row per month; type the month, rent due, date paid and amount paid, and the Status calculates itself: Paid, Late (paid in full after the 5th), Partial, or Unpaid. Late fees paid with the rent go in the amount, and the fee is recorded in its own column.
• Expenses — every cost exactly once, with a category dropdown using the common Schedule E groupings (Insurance, Taxes, Repairs, Management Fees, Mortgage Interest, and the rest).
• Maintenance Log — the work record: what broke, who fixed it, when. Its cost column is for reference only and is never totalled — costs live on Expenses, entered once, so double-counting is impossible by design.
• Year-End Summary — the tax-time sheet: rent collected, expenses by category, and net, with the security deposit held shown separately — never counted as income.

The example is a real-shaped year, not a fantasy. The filled example is a fictional North Port, Florida rental at $1,950 a month, January–October 2026: ten months paid, one paid late with a $75 fee, $19,575 collected against $6,712.10 of expenses — a $12,862.90 net. Three maintenance jobs are logged, including a $260 window the tenant paid for, which sits in the work record and correctly never touches the expense totals. Every number is hand-verifiable.

Honest positioning — which RemodelLedger landlord tool do you need?
• One property? This one.
• Two to ten properties? The Rental Portfolio Manager ($24.99) adds a properties table with per-door cash flow and flags, a rent roll that builds itself, and per-property year-end results.
• Want both? The Landlord Bundle ($34.99) includes this tracker and the Portfolio Manager — save $4.99 vs buying both.
• Flipping rather than holding? The House Flip & Rehab Profit System ($29.99) is the investor sibling for the deal you sell, not the one you keep.

You receive 3 files:
1. The tracker, BLANK — ready for your property.
2. The tracker, EXAMPLE — the complete fictional North Port rental filled in, so you can see exactly how everything works.
3. A Quick Start Guide (PDF) — setup in about 5 minutes, every tab explained, and a walkthrough of the example.

Good to know:
• Works in Microsoft Excel and Google Sheets. Yellow cells are for typing, grey cells are formulas — that’s the only rule.
• No subscriptions, no macros, no add-ons. Buy once, reuse for every lease year.
• Instant download — files are available as soon as you check out.
• This is a bookkeeping tool for your own records — not tax advice. Expense categories follow the common Schedule E groupings to keep your records organised; check with a tax professional about your situation.

About how this was made: This spreadsheet was created with the help of AI tools, then independently formula-tested (74 automated checks recalculated and verified, including blank, zero-value and unpaid-month cases) and reviewed before listing — the same standard as every RemodelLedger product. The example property and tenant are fictional.
